Terms and Conditions of Enrolment
Take Part Saturday School
Please read these terms carefully before completing and submitting your child’s registration form.
These terms set out the agreement between Take Part Wellbeing CIC (“Take Part”) and the parent or carer enrolling a child at our Saturday School Theatrical Experience. They support the safety, wellbeing and enjoyment of everyone attending.
1. What Take Part provides
1.1 Take Part Saturday School provides tuition in dance, drama and singing as part of its musical theatre programme.
1.2 Classes take place on Saturdays during the published term dates. Class times, fees and any additional charges will be provided before enrolment.
1.3 We support children with different abilities, experiences and needs, providing opportunities to develop confidence, creativity and performance skills.
1.4 We provide regular opportunities for parents and carers to see their child’s progress. Details of performances, showcases and any associated costs will be communicated in advance.
2. Enrolment and ClassForKids bookings
2.1 A parent or carer must complete the registration and booking process before their child attends.
2.2 Take Part uses ClassForKids, also known as Class4Kids, to manage bookings, registration information and payments. ClassForKids provides the booking platform; Take Part is responsible for delivering Saturday School.
2.3 Questions about classes, fees, refunds, changes or cancellations should be directed to Take Part.
2.4 Parents and carers must provide accurate information and keep their ClassForKids account up to date, including contact details, emergency contacts and information relevant to their child’s care.
2.5 Please tell Take Part directly about important changes to medical needs, allergies, disabilities, support requirements or collection arrangements before your child’s next session, even if you have also updated your online account.
2.6 Bookings are subject to availability and confirmation by Take Part. Please check your booking confirmation and contact administration promptly if anything is incorrect.
3. Fees and monthly card payments
3.1 Fees are payable by recurring monthly card payment through ClassForKids on the first day of each month, according to the payment schedule provided at enrolment.
3.2 When setting up the subscription, you authorise recurring charges to your chosen card for the agreed fees. Payments continue until the subscription is ended in accordance with these terms.
3.3 The fee schedule will explain what payments cover, including whether they are instalments of a termly or annual fee. Where fees are spread across the year, payments may continue during school holidays even though classes are not running.
3.4 Any initial payment covering classes before the first regular monthly payment, or any separate charge, will be explained before payment is requested.
3.5 If a monthly payment fails, ClassForKids normally retries it on the fourth and ninth days of the month. Please follow any payment notification and update your card details through your account where necessary.
3.6 Parents and carers are responsible for maintaining valid payment details and ensuring that agreed fees are paid. Please contact Take Part promptly if you experience payment difficulties.
3.7 If fees remain unpaid, we will contact you to discuss payment. Continued non-payment may result in attendance being paused or enrolment ending, following written notification.
3.8 Ordinary absence does not automatically entitle families to a refund, as the child’s place remains reserved and staffing and operating costs continue.
3.9 If your child cannot continue because of a long-term medical condition or other exceptional circumstances, please contact us. We will consider requests for a fee adjustment, temporary pause or refund individually and may request appropriate supporting information.
3.10 Any proposed fee increase will be communicated in writing at least one month before it takes effect. You may end enrolment before the increase takes effect without paying the increased rate.
3.11 Any optional additional costs, such as uniform, tickets, trips or additional activities, will be explained before you commit to them.
4. Leaving Saturday School: four weeks’ written notice
4.1 You must give at least four weeks’ notice in writing if you wish to end your child’s enrolment.
4.2 Notice must be sent to Take Part’s published administration email address or delivered in writing to the administration team. Please include your child’s full name and clearly state that you wish to end their enrolment.
4.3 The notice period begins on the date Take Part receives your written notice. Four weeks means four consecutive calendar weeks, including school holidays.
4.4 We will acknowledge your notice and confirm the date enrolment ends and any final payment or refund due. If you do not receive an acknowledgement, please contact administration to check that your notice has arrived.
4.5 Fees remain payable for the four-week notice period, whether or not your child attends. Any final adjustment will follow the agreed fee schedule and will not include fees attributable to a period after enrolment ends.
4.6 Stopping attendance, telling a teacher verbally or stopping your recurring card payment does not replace written notice to end enrolment.
4.7 You may withdraw your authorisation for recurring card payments by contacting Take Part or your card provider. This does not remove any outstanding contractual fees properly due; we will arrange an alternative way for you to pay them.
4.8 Take Part will arrange cancellation of both the class booking and the associated subscription when enrolment ends. Removing a child from a class register alone does not cancel the payment subscription.
4.9 Any payment collected in excess of the final amount due will be refunded.
4.10 These notice arrangements do not limit any statutory cancellation or refund rights that apply.
5. Changes and cancelled classes
5.1 We may make reasonable changes to staffing, group arrangements or activities to maintain safe and effective delivery.
5.2 We will communicate significant changes to class times, venues or the programme as early as reasonably possible. If a change materially affects your child’s ability to attend, please contact us to discuss alternatives or ending enrolment without an additional notice charge.
5.3 If Take Part cancels a scheduled class, including because of severe weather, venue closure or circumstances beyond our control, we will inform families as soon as possible.
5.4 We will offer a suitable replacement session where practical. If no suitable replacement can be agreed, we will provide an appropriate credit or refund for the cancelled provision.
6. Attendance, arrival and collection
6.1 Please support your child to attend regularly and arrive punctually. Let us know about absences, particularly where they affect rehearsals or performances.
6.2 Children must be signed in and out in accordance with Take Part’s procedures.
6.3 Parents and carers remain responsible for their child until the child has been handed over to an appropriate member of staff.
6.4 Children must be collected promptly by an authorised adult unless Take Part has agreed an alternative arrangement in writing.
6.5 Please notify administration in advance of any change to the person collecting your child. We may check identification or contact you before releasing a child to someone unfamiliar to staff.
6.6 If you are delayed, please contact Take Part as soon as possible.
7. Uniform and belongings
7.1 Children should wear the agreed uniform: a Take Part T-shirt or hoodie, black joggers or jazz trousers, and suitable black pumps or trainers.
7.2 Clothing and footwear must allow safe movement. Please speak to us if your child needs an adjustment to the uniform requirements.
7.3 Please label belongings and avoid bringing unnecessary valuables.
7.4 Take Part is not responsible for loss or damage unless caused by our negligence or another failure for which we are legally responsible.
7.5 Unclaimed lost property may be donated to charity after families have been given reasonable notice and an opportunity to collect it.
8. Behaviour, inclusion and safety
8.1 Children are expected to treat staff and other pupils with kindness and respect, follow age-appropriate safety instructions and avoid behaviour that harms others or repeatedly disrupts activities.
8.2 Parents and carers are expected to communicate respectfully with staff and other families.
8.3 Where difficulties arise, we will aim to work with the child and their parent or carer to understand the reasons, agree support and consider reasonable adjustments.
8.4 Where appropriate, we may agree a behaviour or support plan and review its effectiveness with the family.
8.5 Serious incidents, persistent unsafe behaviour, deliberate damage or repeated breaches of agreed expectations may result in temporary suspension or the ending of enrolment. Decisions will consider the circumstances, the child’s needs, support already offered and the safety and wellbeing of everyone involved.
8.6 Where there is an immediate safety risk, we may require a child to be collected or temporarily pause attendance while arrangements are reviewed.
8.7 If Take Part ends enrolment, we will explain the decision in writing and refund fees paid for provision after the termination date. Any temporary suspension will be reviewed promptly, including its effect on fees.
9. Health, emergencies and safeguarding
9.1 Parents and carers must provide current emergency contact details and remain contactable during sessions.
9.2 Please share relevant medical conditions, allergies, disabilities and additional needs so that we can discuss appropriate support and reasonable adjustments.
9.3 Any medication required during sessions must be discussed and agreed with Take Part in advance, in accordance with our medication procedures.
9.4 If a child becomes unwell or injured, we will provide appropriate assistance and contact their parent or carer as soon as reasonably possible.
9.5 Where urgent medical assistance is needed, we may contact emergency services without waiting for a parent or carer to arrive.
9.6 Take Part follows its safeguarding procedures. Relevant information may be shared with appropriate services where necessary and lawful to protect a child or meet our safeguarding responsibilities.
10. Personal information and online accounts
10.1 Take Part handles personal information in accordance with applicable data protection legislation and its Privacy Notice.
10.2 Information is used to administer enrolment, manage payments, communicate with families and support children’s safety and participation.
10.3 ClassForKids is used for booking and account administration, with payments processed through its payment provider, Stripe. Their applicable privacy notices explain how they handle personal information.
10.4 Access to information is restricted to authorised people who need it for their role. Relevant information may also be processed by service providers or shared with appropriate agencies where necessary and lawful, as explained in our Privacy Notice.
10.5 Please keep account login details secure. Enter and update payment card details through the secure payment process; do not send full card details by email or message.
10.6 Photography, filming and promotional use of children’s images are covered by separate permissions and information. Agreeing to these terms does not itself give permission for promotional use of your child’s image.
11. Communication, concerns and complaints
11.1 Please provide a current email address and telephone number and check communications about bookings, payments and classes.
11.2 Please contact Take Part if you believe you have missed an important message or your contact details have changed.
11.3 We welcome concerns and aim to resolve them promptly, fairly and respectfully.
11.4 Please contact Louise Coker, CEO, if you are unhappy with any aspect of Saturday School. Our complaints procedure explains the next steps if a concern cannot be resolved informally.
12. Agreement
12.1 These terms apply alongside the enrolment information, agreed fee schedule and relevant policies provided to families.
12.2 Any separate ClassForKids account or platform terms govern your use of that platform. They do not replace Take Part’s responsibilities for delivering Saturday School.
12.3 Nothing in these terms excludes or restricts your statutory rights or any liability that Take Part cannot lawfully exclude.
By submitting the registration form, you confirm that you have read and understood these terms and agree to them, including recurring monthly card payments and the requirement to give at least four weeks’ notice in writing to end your child’s enrolment.
